Cupola XS B.V. handles the personal data of every visitor to a Cupola XS webpage or location with great care. Personal data is processed and protected in accordance with the General Data Protection Regulation. The purpose of this privacy statement is to explain how Cupola XS B.V. uses and processes personal data when you visit our website, contact us, enter into an agreement with us, participate in activities, or make use of our services.

Personal data

Cupola XS B.V. processes personal data as defined in Article 4 of the General Data Protection Regulation. Personal data refers to any information relating to an identified or identifiable natural person.

Cupola XS may process your name, address, telephone number and email address, among other things, in order to contact you regarding our services, agreements, events, or if we have questions about a request or message you have submitted.

Non-personal data

Cupola XS also processes non-personal data. This concerns information relating to a legal entity and not directly traceable to a natural person. When you act on behalf of an organization as a tenant, partner, supplier, or participant, such data may be processed. The specific policy for personal data does not apply to non-personal data.

Controller

Cupola XS B.V., registered with the Chamber of Commerce under number 76514064 and located at Koepelplein 1E, 2031 WL Haarlem, the Netherlands, is the controller within the meaning of the General Data Protection Regulation. This means that Cupola XS determines which personal data is processed, for what purpose, and in what manner. Cupola XS is responsible for careful and lawful processing of personal data.

The personal data we collect

Cupola XS collects personal data that you provide yourself, for example when you contact us, rent a space, attend an event, subscribe to a newsletter, or apply for a position. This may include your name, email address, telephone number, address details, company information, billing details, and other information necessary for the execution of our services.

In addition, we may process personal data related to event registrations, building access, communication through web forms, or recruitment procedures. Financial data is processed exclusively for administrative and invoicing purposes.

When you visit our website, technical data may automatically be collected, such as IP address, browser information, pages visited, date and time of the visit, and interaction behavior on the website. This information is collected through cookies and similar technologies.

Cupola XS may also receive personal data from third parties, for example through partners, event organizers, or public sources if this is necessary in connection with our services.

Data of minors

Cupola XS does not knowingly process personal data of individuals under the age of sixteen without permission from a parent or legal guardian. If it is determined that personal data of a minor has been processed without valid consent, this data will be deleted without unnecessary delay.

Purpose of processing personal data

Cupola XS processes personal data for the execution of agreements, facilitating coworking and events, managing rental agreements, handling invoicing and administration, maintaining contact with relations, improving the website, ensuring safety and access control within the building, and carrying out recruitment and selection procedures.

Personal data is not shared with third parties for commercial purposes unrelated to the services of Cupola XS.

If necessary for the execution of our activities, personal data may be shared with third parties who provide services on behalf of Cupola XS, such as IT service providers, hosting providers, administrative software suppliers, or other parties involved in the execution of an agreement. In such cases, only the data necessary for the relevant purpose will be shared, and data processing agreements will be concluded where required.

Legal basis for processing

The processing of personal data takes place on the basis of one or more of the legal grounds listed in Article 6 of the General Data Protection Regulation. This may be because processing is necessary for the execution of an agreement, because you have given consent, because processing is necessary for the legitimate interests of Cupola XS, or because processing is required to comply with a legal obligation.

Security

Cupola XS takes appropriate technical and organizational measures to protect personal data against loss, misuse, or unauthorized access. Data transmitted through the website is secured via an encrypted connection.

Retention period

Cupola XS does not retain personal data longer than necessary for the purpose for which it was collected or as long as required by law. Administrative and fiscal data is retained in accordance with the statutory retention period of seven years. Other data is retained for as long as necessary for the execution of an agreement or for legitimate business purposes.

Register of processing activities

As a controller, Cupola XS maintains a register of processing activities carried out under its responsibility in accordance with Article 30 of the General Data Protection Regulation.

Your rights

You have the right to access your personal data, to request correction or deletion, to restrict processing, to object to processing, and to request transfer of your data. You also have the right to withdraw previously given consent. Requests can be sent to administratie@cupolaxs.nl. Cupola XS will respond to such requests within four weeks.

You also have the right to file a complaint with the Dutch Data Protection Authority if you believe that the processing of your personal data does not comply with applicable legislation.

Changes

Cupola XS reserves the right to amend this privacy statement. The most current version will always be available on the Cupola XS website. By continuing to use the website or our services after changes have been published, you are deemed to have taken note of the updated statement.
